Rewst Workflow Automates Custom Organization Variables

A growing MSP using Rewst to standardize onboarding and configuration across Microsoft 365, Google Workspace, and on-prem environments. The team needed a consistent way to create and manage organization variables without manual rework.
The Challenge
Manual creation of organization variables caused errors, delays, and inconsistent data across environments. There was no automated workflow to create, modify, or delete variables from a single entry point, and missing validation allowed incomplete data to pass through and impact downstream workflows.

What We Did
We designed a structured process and built a Rewst workflow that captured input cleanly, validated it, and automated variable creation and updates. A user-friendly form with opt-gen logic pulled values from the tenant/service so users selected data instead of typing it manually.
We implemented conditional logic for string vs list inputs and ensured the workflow worked for Microsoft 365, Google Workspace, and on-prem configurations without breaking existing automation.
Results
- Opt-gen workflow pulled domains, groups, shared mail, and org values
- Variables created/updated automatically based on user selections
- Built-in validation reduced errors and rework
- Consistent org variable structures across service types
- Core Rewst workflows remained intact and supportable
Outcomes
- 80% reduction in manual variable entry
- Standardized inputs across Microsoft, Google, and on-prem
- Faster setup for new client organizations
- Fewer data errors and rework
- Higher user satisfaction with clear forms
- Scalable foundation for future automation
